Sustainable Event Management Policy

Policy, values and principles of the Sustainable Event Management System (SEMS)

1. Purpose and strategic direction

Progetto2 aims for excellence in building stands for trade fairs and events, conducting its business operations in a sustainable way.

Its primary purpose is to create and deliver a sustainability management system for building stands at live events.

The organisation recognises that it has an impact on the environment, the economy and the community, as well as a key role in raising awareness of sustainability issues among suppliers and customers.

2. Statement of intent and corporate values

The sustainability management system adopts and ensures the highest standards at all events, in line with the ISO 20121 standard.

  • Work culture and development: create a work culture that encourages the promotion of sustainability and enables employees’ personal development through innovation, training and learning.
  • Resources: allocate sufficient resources to deliver, maintain and continually improve the sustainable management system.
  • Environmental impact: understand and reduce the impact on the environment to ensure a sustainable business for future growth.
  • Engagement: engage stakeholders in a transparent and inclusive way, sharing knowledge and good working practices.
  • Sustainable procurement: purchase products and services supplied in a sustainable way, requiring suppliers to meet these requirements through specifications and contracts.
  • Working conditions: maintain healthy and safe working conditions for employees.
  • Ethics and profitability: be profitable in order to create long-term value, conducting business with honesty, good faith and without fraud or deception, enhancing the company’s reputation in support of local communities.

3. The four key principles (SEMS)

The sustainable management system is based on four fundamental principles:

  • Inclusivity: Progetto2 is committed to dialogue with internal and external stakeholders to ensure that sustainability issues are understood and shared. Stakeholder needs and groups are reassessed for each event.
  • Integrity: promoted in the processes of the company, its partners, suppliers and contractors, treating all stakeholders openly, honestly and fairly. It includes compliance with laws, regulations, codes of conduct and policies on corruption, negligence, child labour, diversity and training, as well as verification through internal and external audits.
  • Sustainability: recognition of the company’s impact on the environment, the economy and the community, adopting the highest standards benchmarked against ISO 20121. It includes regular checks of the premises, monitoring of resources and ongoing verification of skills, with targeted training where needed.
  • Transparency: greater transparency of governance by documenting all decisions and actions relating to event management. Roles and responsibilities are clearly defined, the SEMS Manager records reviews, external requests receive a timely response, and the website makes it easy to access information and give feedback.

4. Operational commitments and continual improvement

  • Implement the voluntary ISO 20121 standard across all facilities, projects and operations relating to events.
  • Ensure that events leave a positive legacy and that the needs of end users and outcomes with stakeholders are taken into account.
  • Provide appropriate training to employees and the operations team so that they are competent in sustainability matters.
  • Comply with all applicable legislation and approved codes of conduct, monitoring the impact of future legislation.
  • Reduce energy consumption, carbon emissions (both at events and at the operational headquarters) and the amount of waste sent to landfill through reduction and recovery targets.
  • Continuously monitor the sustainability performance of suppliers and contractors.
  • Review and communicate the policy and key documents at regular intervals (at least once a year) to reflect the event life cycle and promote continual improvement.
  • Integrate all newly acquired capabilities, knowledge and best practices into the management system.

FSC® Policy (FSC-C134403)

With the aim of marketing products in an environmentally responsible way, Progetto 2 has decided to guarantee its customers products made with FSC-certified materials and to implement an FSC chain of custody management system in accordance with FSC-STD-40-004 V3-1.

To this end, the company is committed to:

  • checking the certification of the raw materials purchased and of the related suppliers;
  • training the staff directly involved in the Chain of Custody system, in particular the staff responsible for purchasing;
  • suspending sales if a product does not meet the requirements of the standard applicable to the company, as defined in the Chain of Custody System Manual.

Accordingly, the Organisation, through its legal representative, declares that it has read and understood the “Policy for the Association of Organizations with FSC” (FSC-POL-01-004), as published on www.fsc.org.

This policy sets out FSC’s position on activities that are unacceptable for organisations and individuals that are already associated, or wish to be associated, with FSC.

In light of the above, the Organisation explicitly agrees, now and in the future and for as long as its relationship with FSC is in place, not to be directly or indirectly involved in any of the following unacceptable activities:

  • illegal logging or trade in illegal wood or forest products;
  • violation of traditional and human rights in forestry operations;
  • destruction of high conservation values in forestry operations;
  • significant conversion of forests to plantations or non-forest use;
  • introduction of genetically modified organisms in forestry operations.

Violation of any of the ILO Core Conventions, as defined in the ILO Declaration on Fundamental Principles and Rights at Work. In particular, the company undertakes to:

  • not use child labour;
  • not use forced or compulsory labour;
  • not discriminate in respect of employment and occupation;
  • guarantee freedom of association and the effective right to collective bargaining.

These principles are formally confirmed by the completion and approval of the “Self-declaration regarding FSC principles”, signed by the Organisation’s legal representative.

Under Italian Legislative Decree no. 81 of 9 April 2008, as amended, the company fulfils all legal obligations relating to:

  • compliance with the statutory technical and structural standards for equipment, systems, workplaces and chemical, physical and biological agents;
  • risk assessment and the resulting prevention and protection measures;
  • organisational activities such as emergencies, first aid, periodic safety meetings and consultation of the workers’ safety representatives;
  • health surveillance;
  • information, education and training of workers;
  • supervision of workers’ compliance with safe working procedures and instructions;
  • obtaining the documentation and certifications required by law;
  • periodic checks on the implementation and effectiveness of the procedures adopted.

The Management has appointed an FSC Chain of Custody Manager as the point of reference for the implementation of this policy.
